following the AGM at 7.30 pm at Kings Worthy Community Centre, Fraser Road, Kings Worthy

AGM/01/09 Apologies
Cllrs J. Marshall and D. Welstead sent apologies.
Due to the impending local council elections HCC Cllr J. Porter and WCC Councillors R. Johnston and S. Howell sent their apologies
Councillor Neil Pidduck resigned from the Parish Council prior to the meeting.
AGM/02/09 Nominations and voting for Chairman and Vice Chairman
Chairman:
Proposed: Cllr P. Warrener
Nominated by: Cllr D-M. Cox Seconded by: Cllr I. Gordon
All Councillors voted and Cllr R. Warrener received the required majority vote and was elected as Chairman. Cllr Warrener signed the Declaration of Acceptance of Office.
Vice Chairman:
Proposed: Cllr D-M Cox
Nominated by: Cllr I. Gordon Seconded by: Cllr E. James
All councillors voted and Cllr Cox received the required majority vote and was elected as Vice Chairman. Cllr James signed the Declaration of Acceptance of Office.
AGM/03/09 Minutes of the AGM held on 19th May 2009
The minutes had been signed as a true record at the Parish Council meeting on 21st July 2008.
There were no matters arising.
AGM/04/09 Co-option of Councillors – Mr Tony Jacobs & Mr David Young
A ballot was undertaken and Mr Jacobs and Mr Young were co-opted onto the Parish Council.
The Clerk will forward the necessary paperwork.
AGM/05/09 Appointments to Committees
Councillors were requested to select which Committees they would like to be on.
There should be at least three Councillors on each Committee and at least four on those areas which entail more work.
The Burial Ground and Publicity are to be included in the Recreations and Amenities Committee, and will meet quarterly.
Councillors are requested to vote for a Chairman of each Committee at the first Committee meeting following this AGM and agree meeting dates.
Finance Committee Councillors: Dawn-Marie Cox, Derek Smithers and Peter Warrener, also Jim Marshall, to be confirmed.
Recreations & Amenities Committee, including Burial Ground & Publicity Councillors: Dawn-Marie Cox, Liz James, R. Sign and S. White, also Jim Marshall, and Denis Welstead to be confirmed.
Publicity Councillors: Liz James and Sarah White
Planning Councillors: Ian Gordon, T Jacobs, R. Sign and Peter Warrener, also Denis Welstead to be confirmed.
The Terms of Reference should be reaffirmed or set up by each Committee.
